Just because you are a small business does not mean you can’t have the same tech as the large corporates. Just to let you into a secret you don’t have to have death my excel spreadsheet there are low cost or even free HR Systems available.
I have sourced or installed an HR system the majority of the companies that I have worked for in my corporate career and there are pro’s and cons with all of them but you need to look at your business and what will work for you – the is not a one size fits all. I will explain why should you consider using an HR system?
Improves your People Organisation
Keeping all files in one place and ideally, in the cloud ensures access at anytime anywhere. With an HR System, It also makes it super easy to keep on top of the people admin of your organisation.
Helps you to keep on top of compliance
Depending on your business what documents do you need to ensure that you have on file for your employees? For example, when does their Visa run out? When does their H&S Safety certification expire? As a small business owner, it would be great to have a reminder of when these things are running out to ensure you maintain your compliance?
Boosts Employee Morale
Enabling your teams to log in and amend their own details or request holiday empowers them and makes them feel valued. The investment however much it is in either money or time reflects that the company values’ their employees.
If employees are entering details directly themselves it reduces the risk of copy errors and puts the onus back on the employees to ensure details are correct. In a society of where we are so careful with our personal data it also stops paper files from being mislaid or left out.
As an HR consultant or Virtual HR Manager in order to maintain and protect personal data, I get my own login so no personal information needs to be emailed to me. I can just log in and see the personnel file directly and all relevant information to help with any people support.
Possible Cost Savings
Keeping all the information in one place without the need for duplication. You can get reports that advise about regular pattens of absence or reminders about dates that could make you non-compliant. Both of these examples could cost your business money in either in fines or lost hours. It depends on your business so with specific information there is no way to quantify these it is food for thought.
Simplifies the growth process
If you are looking to grow and expand your business that means the time you have will only decrease and the risks get greater. If you get your people documentation and onboarding right now early on it will ensure as you grow you don’t miss anything fundamental.
The geek side came out when I started working with clients with under 20 employees as to whether a system would be beneficial or not and I started to do a little research.
There are plenty of systems around that claim to be great for small businesses however there is a substantial cost attached and the information that is needed to complete. In essence, you would need a full-time person to enter the details which in my mind is making more work not less.
Whilst I was searching around I found few systems that offer small businesses systems at either no cost or a small monthly fee. My go to system and one that I use for my business as well as with my clients is BreatheHR. The system also has an employee portal so holidays can be booked via a smart phone, tablet or computer. Finally an HR System on an SME budget.
