So, I am pleased to tell you about their payroll export tool, a brand sparkling new feature that is now available within the BreatheHR app.

The payroll export functionality has been carefully designed with the intention of streamlining the way you manage payroll

  • by keeping all sensitive information in one secure place
  • removing the headache of importing employee data to your payroll system
  • saving you valuable time as a result.

How does the new payroll export tool benefit you?

The new payroll export tool allows you to download payroll-ready files of your employee information from the Breathe system. This can then be imported straight into your payroll software in just a few clicks. The tool can be used for onboarding new employees’ details and updating existing ones too.

When building this functionality Breathe worked hard to ensure that it would meet the import requirements of a wide variety of payroll providers in the UK.

As such, they have provided two options when you go to export employee information. You can either download all of the data with the changes included (e.g. salary adjustments), or alternatively, you can simply export any changes that have occurred within the data. The process can, therefore, be tailored to whichever payroll system you’re using.

Say goodbye to tedious payroll admin

When pulling data with the payroll export tool, employee information is separated into four different spreadsheets. These files cover the following changes;

  • Employee personal information
  • Salary information
  • Benefit information
  • Additional payment information

With this data readily split into categories, it means that there is no longer a need for you to spend unnecessary time fine-combing large amounts of data in order to find what you need.

 Payroll, the Breathe way

Once exported from the Breathe payroll export tool, spreadsheets of employees data can be imported directly into a payroll system.  So it makes it a really simple exercise!

And, if the data needs to be adjusted and/or re-downloaded, then Breathe has it covered: all past exports can be rebuilt and re-run.

Top Tips for using breatheHR

I recommend that all of my clients use an HR system, and I especially recommend breatheHR.

For those using currently using breatheHR, I’d like to share some tips you might find useful:

 

1. Calculating holiday for new starters

When adding a new employee to breatheHR, ensure that they are added to the correct holiday allowance. The system will then pro-rata their holiday based on this calculation:

Full year entitlement x number of days between start of holiday year and employee start date

÷

Number of days in holiday year.

 

2. Bulk changes in breatheHR

Have you ever had to update a number of employees with a company training course? Or allocate a new line manager to a team?

Within breatheHR on the employees list, HR users can make mass changes which will save you time. The areas you can update are:

  • Line Managers
  • Holiday Approvers
  • Statutory Holidays
  • Working Patterns
  • Holiday allowances
  • Training Records
  • Benefits and Pensions
  • Departments

3. Sending emails from breatheHR

Within the systems, you have the ability to send emails. These emails will be documented under the employees notes tab so that you have a record.

To send an email go to: the Employees Tab> List > Select the relevant employee by using the tick box > Show task and click Send Mass email.

4. Total reward package

To demonstrate the value of your company’s total reward package, breatheHR have put together this personalised statement for each employee.

This shows their salary, bonus & commission, benefits and any other allowances that go together to make up their total reward package, I find this a really useful feature.

5. Recruitment

In the recruitment area you can create vacancies, track applications, invite people to interview and hire successful candidates. Within your Hub area you will be able to see:

  • Open vacancies
  • Who is managing a vacancy
  • Shortlist applicants
  • Check out how well your vacancy is performing under the Analytics section.

Mostly, all plans come with the same functionality, although for functionalities such as the Time log and Expenses Management you would need to opt for the Regular, Pro or Premium subscription.

I believe an HR system is a must for all of my clients, and indeed all small businesses with employees. Not only does it save time, but in the new GDPR world we live in you need to make sure your employee’s data is safe and secure.

What is a cloud-based HR system?
A simple definition: ‘the cloud’ is where users ‘rent’ hardware and/or software instead of actually buying it. You pay for the amount you use and never own it.

Understanding cloud computing
Many of us use some form of cloud computing without really knowing it – Gmail and Dropbox are good examples, but it could even be said that doing your banking online or even buying a book from Amazon puts you ‘in the cloud’.

Taking cloud computing to its ultimate level, businesses with hundreds of employees will operate entirely online – they won’t have in-house servers or installed applications. All of their IT infrastructures, file saving and applications will be will be done ‘in the cloud’.

The key thing to remember is that there is no ‘cloud’. All cloud computing is firmly land-based, often behind impressive hard and soft security. All responsible cloud providers have infrastructure that most small businesses could only dream of.

Software as a Service (SaaS)
Software as a Service is where users need an application to do a specific job but don’t want to buy the software. In a business situation that might include CRM tools like Salesforce or Infusionsoft.
You pay for them based how much you use and the advantages are:
• No big upfront cost to buy and install the application
• No ongoing maintenance costs such as installing software updates or maintaining servers.

What does this mean for you?
You and your clients will almost certainly be using something in the cloud and it’s not going away. Whilst it could be said that every client is different, there are some real benefits to Software as a Service that all businesses should consider.

Where a business needs specialist systems then cloud applications may be the only cost-effective option. If a business needs multiple employees to access a system and/or access outside of the office then SaaS applications come into their own.

Why do you need HR software? Here are just 5 reasons:

  1. Improved security – Keeping your employee’s data within a cloud-based system means reducing the paperwork that is kept on location. The protection that goes into a system is far superior than a filing cabinet!
  2. Improved effectiveness – With an HR system, you have everything at your fingertips. This means your business decisions can be made quickly and easily.
  3. Improved productivity – A self-service system can hugely increase productivity. No longer do employees have to locate forms for annual leave or write emails updating personal information.
  4. Improved engagement – You can use tools within an HR system to track objectives, praise members of the team and send announcements to make sure everyone is on the same page.
